Login - Account Retention Policy

An alumnus, emeritus, or other user that has left the school needs access to a system.

Alumni

  • Long term, graduated students (alumni) have access to Email and The Portal
  • Access to other services is terminated within 1 month after graduation.
    • Microsoft Office app licensing, OneDrive storage, Zoom licensing, etc.

Important note – Johnson University reserves the right to disable (not delete) the alumni account if it is not being used or if any security concerns for the account are noticed. Alumni can regain access simply by asking.

  • If an alumnus has never had an account (they graduated before the system was in place), they CANNOT obtain an account.

Emeriti (retired employees)

  • Long term, retired employees (emeriti) have access to:
    • Standard procedure: No access at all.
    • With specific request from supervisor: Access to Email and The Portal.
  • Access to other services is terminated immediately after retirement.
    • The IT Department waits for official notification from the Human Resources department before terminating the account.
  • If an emeritus has never had an account (they retired before the system was in place), they CANNOT obtain an account.

Other Users

  • Long term, students that have left the school WITHOUT graduating have access to:
    • These are treated as alumni, same procedures apply.
  • Long term, employees that have left the school WITHOUT retiring have access to: (list of systems)
    • These are treated as Emeriti, same procedures apply.
  • Workstudy accounts
    • These have all access removed
